Tour Price Includes

  • Sightseeing Vehicle: Vehicles with 2, 6, 16, 29, 30, 34, or 45 seats, depending on passenger count.
  • Tour Guide: English-speaking tour guide will accompany the group.
  • Hotel Accommodations: Double/twin share basis with daily breakfast (3-star category unless specified). If breakfast is not included, it will be detailed in the itinerary.
  • Cruise on Halong Bay: Double/twin share basis with daily breakfast and included cruise activities. Note that some cruises include ground transfers, others do not—please verify in your booking.
  • Meals: Daily meals as specified (Breakfast, Lunch, Dinner). Options available for personal dining experiences.
  • Entrance Fees: All applicable fees are included as per the itinerary.
  • Travel Insurance: Not included; guests must obtain their own coverage.
  • Mineral Water: One bottle (0.5L) per guest per day.

Tour Price Excludes

  • Tips and Gratuities: For drivers, tour guides, and local service staff.

Child Policy

  • Children under 5 years: Free of charge (parents cover additional costs for services with height-based fees). One child under 5 per two adults; additional children will be charged based on age group (5-12 years).
  • Children aged 5–under 12: Must purchase a 50% tour package, including transportation, meals, and entrance fees (must share a room with parents). Only one child per two adults is allowed; additional children must pay for an extra bed.
  • Children aged 12 and above: Must purchase a full-price tour package.

Payment Terms

  • A 50% deposit is required upon registration.
  • The remaining balance is due 15 days before departure for Low Season and 20–25 days before departure for High Season.

Booking Requirements

Vietnamese Nationals

  • Adults and children aged 14 and above: Valid ID card or passport (ID must not be expired for over 15 years).
  • Children under 14: Original birth certificate.

Foreigners/Vietnamese Expatriates

  • Valid passport (or Green Card with Visa and re-entry permit).
  • Provide exact full names as per ID/passport/birth certificate in the order of Last name/Middle name/First name.

Tour Adjustments/Cancellations

  • The itinerary may be adjusted based on actual conditions. Asia Travel Mates is not responsible for missed attractions due to:
    • Natural disasters (confirmed by Vietnamese authorities).
    • Security issues (e.g., terrorism, protests).
    • Traffic incidents (e.g., congestion).
  • Refunds (if applicable) will exclude services already rendered.

Hotel Policies

  • Check-in: After 14:00 | Check-out: Before 12:00.
  • Rooms may not be adjacent or as requested (bedding configurations subject to availability).
  • Single Travelers: Must pay a single room surcharge unless paired with another same-gender guest.
  • Groups of 3: Will be accommodated in one room (1 large bed + 1 extra bed/mattress). Additional charges apply for separate rooms.

Meeting Point

  • Asia Travel Mates will pick you up at the airport upon arrival or at your hotel.
  • Drop-off: At the end of the tour program or upon request (within a reasonable distance). Ending points must be in line with the tour itinerary (e.g., hotel or Tan Son Nhat Airport).

Special Cases

  • Minors under 18: Must be accompanied by a parent or guardian or provide authorized certification.
  • Seniors:
    • Women aged 55+ and men aged 65+ must travel with a companion under 55 (in good health).
    • Guests aged 70+ must have a companion under 55.
  • Pregnant Guests: Must inform staff upon booking and provide a doctor’s approval. They assume full responsibility for health risks.
  • Invoices: Must be requested at the time of booking (not available post-tour).

Cancellation Policy

Cancellation deadlines are based on working days (excluding weekends and holidays).

Low Season (May 15 – September 30)

  • 30+ days before departure: Free refund.
  • 15–29 days: 50% of deposit forfeited.
  • 7–14 days: 70% of deposit forfeited.
  • No-show (6 days or less): 100% of total tour cost.

High Season (October 1 – May 14)

  • 45+ days before departure: Free refund.
  • 30–44 days: 50% of deposit forfeited.
  • 15–29 days: 70% of deposit forfeited.
  • No-show (14 days or less): 100% of total tour cost.

Force Majeure

  • Neither party is liable for cancellations or changes due to unavoidable events (natural disasters, wars, epidemics, transport disruptions, etc.). Both parties must collaborate to minimize losses.
