General Terms and Conditions

1. General Information

These Terms and Conditions govern the relationship between Asia Travel Mates and its clients regarding the provision of travel services. By making a reservation, you agree to abide by these terms.

2. Reservations

All reservations must be made in writing through our official website or via our designated email addresses. We will respond to your reservation requests within 24 hours. If we are unable to process your request, we will inform you promptly. In cases of unavailability of hotels, flights, or specialized services, our Travel Experts will provide alternative recommendations prior to finalizing your booking.

Upon confirming a reservation, you will receive a booking confirmation and invoice via email. A deposit is required upon confirmation, and the remaining balance must be settled according to our payment policies outlined below.

3. Deposit & Payment

A deposit of 20% of the total tour price is required upon booking confirmation. Additional deposits may be required based on local suppliers’ guidelines.

Full payment for all services is due 45 days before your departure date. Payments can be made via bank transfer or major credit cards (Visa, Mastercard, American Express). Note that transaction fees apply (3.85% for Visa and Mastercard; 4.5% for American Express). All bank charges must be borne by the client, and the total amount must be received in full without deductions.

Upon receipt of your payment, we will issue hotel vouchers and/or a final confirmed itinerary sent to your email.

4. Booking Amendments

You may amend your booking after confirmation by contacting us at [email protected] with your booking number. Our reservations team will assist with the amendments and inform you of any incurred expenses. A revised itinerary and invoice will be sent to your email once confirmed.

If using a travel voucher for amendments, all terms and conditions of the voucher apply within its validity period.

5. Cancellation Policy

The following cancellation fees apply, unless otherwise stated in your quotation/booking:

  • More than 45 days before arrival: Deposit is refundable, but cancellation fees from suppliers is applied.
  • 44 – 30 days before arrival: 20% cancellation fee of the total booking amount, plus supplier fees.
  • 29 – 15 days before arrival: 50% cancellation fee of the total booking amount, plus supplier fees.
  • 14 – 07 days before arrival: 70% cancellation fee of the total booking amount, plus supplier fees.
  • Less than 07 days before arrival or No-show: 100% cancellation fee of the total booking amount.

Refunds will be processed using the same payment method, excluding any banking fees or deductions.

6. Refund of Unused Services

No refund will be granted for any unused services once the trip has commenced.

7. Liability

Asia Travel Mates is not liable for any loss, injury, or damage sustained by passengers. Additional expenses incurred due to delays, accidents, natural disasters, pandemics, political actions, or unrest are the responsibility of the passengers. It is mandatory for passengers to have comprehensive travel insurance.

 

8. Passport and Visa Requirements

Your passport must be valid for at least six months following your entry date. It is your responsibility to ensure possession of valid travel documents, including visas.

9. Travel Insurance

Travel insurance is not included in your tour price. We strongly recommend purchasing a comprehensive travel insurance policy to cover all aspects of your journey, including cancellation, loss of personal items, personal injury, and COVID-19-related issues. A waiver must be signed if insurance is declined.
