This Cancellation Policy forms part of our Booking Conditions and the Online Tour Booking Agreement. Where a specific booking proposal states stricter terms — for example for festival travel or cruise components — the proposal prevails.

02How to Cancel
Cancellations must be made in writing and sent to hello@asiatravelmates.com. A cancellation is effective on the date our team confirms receipt. Please retain a copy of your written cancellation notice.
03Disclosed Non-Refundable Supplier Charges
Certain components of a journey have non-refundable charges that are additional to the standard schedule. These include, but are not limited to:
- Domestic flights issued after booking confirmation;
- Cruise deposits and full payments;
- Festival-period hotel bookings and peak-season commitments;
- Special-permit activities (for example certain trekking and remote-region permits).
Where these apply, they are disclosed in the Booking Confirmation. Cancellation charges are calculated as the standard schedule plus disclosed non-refundable supplier charges.
04Cancellation by the Operator
In the unlikely event that we cancel a confirmed journey for reasons within our control, the Client will be offered either:
- A full refund of amounts paid; or
- An alternative itinerary of equivalent value, at the Client’s choice.
05No-Show
Failure to arrive for a scheduled departure without prior written notice is treated as a 0-day cancellation and is non-refundable.
06Force Majeure
Where cancellation is caused by a Force Majeure event — including natural disasters, extreme weather, pandemics, government restrictions, civil unrest or war — both parties will work in good faith to reach a reasonable solution. This may include rerouting, postponement, or partial refund where recoverable from suppliers.
07Refund Mechanics
Approved refunds are made by bank transfer to the account from which payment was received, unless otherwise agreed in writing. Refunds are typically processed within 5–10 business days after confirmation.
