These Payment Terms supplement our Booking Conditions and the Online Tour Booking Agreement. Where a specific booking proposal or invoice states different terms, the proposal or invoice prevails.
The Short Version — In Plain English
The essentials before the detail.
- Deposit: typically 30% on confirmation, unless the proposal states otherwise.
- Balance: due 30 days before departure.
- Currency: United States Dollars (USD) by default.
- Bank fees: the responsibility of the client.
- Late payment: may result in cancellation under the Cancellation Policy.
- Refunds: made by bank transfer to the original payment source, typically within 5–10 business days.
01Payment Schedule
Booking payments follow the schedule agreed with your specialist and confirmed in your itinerary and Booking Confirmation. Our standard schedule is:

Certain journeys — including festival-period travel, cruise-inclusive journeys, and peak-season departures — may require a higher deposit or earlier balance. Where this applies, it is stated in the proposal.
02Accepted Payment Methods
Bank transfer is our standard payment method. Card payments and other methods may be available on request. Accepted channels, bank details and payment instructions are provided on each invoice.
For card payments, all card data is processed by our PCI-compliant payment partners. We do not store full card numbers on our own servers. See our Privacy Policy for details.
03Currency
Prices are quoted in United States Dollars (USD) unless otherwise agreed in writing. Where payment is made in another currency, the amount received in our account must equal the invoiced USD amount in full at the exchange rate applied on the invoice date.
04Bank & Transfer Fees
Any bank transfer fees, intermediary bank charges or currency conversion fees are the responsibility of the Client. Please ensure that all applicable fees are paid by the sender so the amount received matches the invoiced amount in full.
05Late Payment
If the deposit or final balance is not received by the due date, we may treat the booking as cancelled under the Cancellation Policy. Where the booking has been confirmed and the final balance is overdue, we may also suspend or cancel services.
06Invoicing
Invoices are issued in USD unless otherwise agreed. Invoices are provided electronically. Where required for business or accounting purposes, we can issue a formal invoice with applicable tax details on request.
07Refunds
Where a refund is due — including under the cancellation schedule or following a supplier recovery — refunds are made by bank transfer to the account from which payment was originally received, unless otherwise agreed in writing. Processing time is typically 5–10 business days after confirmation of the refund amount.
08Taxes
Prices include applicable local taxes unless otherwise stated. Any new government taxes or surcharges introduced after confirmation are handled under Section 2.2 of the Online Tour Booking Agreement.
